Currently, we are seeking an Executive Assistant, to be responsible for managing the schedules and communications of key company executives, to be onsite in our Atlanta location. Their duties would include prioritizing executive schedules, preparing and organizing confidential and sensitive materials and plans, supporting board meetings and the preparation of board materials, and communicate on behalf of the executive(s) they support.

The Executive Assistant will perform a wide range of administrative support activities and aid the CEO in facilitating the efficient operation of the organization. This person must exhibit skills in building & maintaining strong relationships both internally & externally. The ideal candidate is both approachable & respectful, comfortable with new technology, virtual meeting platforms and scheduling systems.

Responsibilities will include:

  • Managing sensitive matters with a high level of confidentiality and discretion
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives’ behalf
  • Managing the executive(s) calendar, including making appointments and prioritizing the most sensitive matters
  • Supporting the CEO in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary – must be proficient in Word, PowerPoint, and Excel.
  • Maintaining comprehensive and accurate records
  • Planning, coordinating, organizing, and helping at various company meetings, events, and celebrations to include but not limited to; leadership team offsite meetings, board meetings, etc.
  • Organizing townhalls, including scheduling, sending reminders, and organizing catering when necessary
  • Managing the executive travel budget and booking all executive air travel, land transport, and accommodation as well as communicating those arrangements with a high level of detail and follow through.
  • Acts as eyes and ears for the leadership team, make recommendations as requested.
  • Be easily assessable for after-hour travel, scheduling, and other needs.
  • Additional duties as needed.

Qualifications:

  • High School diploma/GED required, Bachelor's Degree preferred.
  • 7+ years’ experience supporting C-suite level.
  • Manufacturing experience would be a plus, but not required.

Skills:

  • Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment.
  • Appropriate sense of discretion in dealing with varied and difficult situations
  • Must be proficient with Microsoft Office, Word, Excel, and PowerPoint
  • Detail-oriented with good time management skills and ability to prioritize work.
  • Highly organized and self-motivated
  • Excellent verbal and written communication skills
